The Kingston Chamber Music Festival (KCMF) seeks applicants for the position of Administrative Assistant. The position will begin part-time at 10 hours a week and increase to 30 hours per week during the festival season from June to mid-August and then return to 10 hours per week after the festival season. This position is hybrid with the majority of work having flexible hours and will be performed from home except for the 2 weeks of the festival. Ideal applicants have strong computer skills, excellent communication, dependable follow through, and an interest in arts administration.
Scope of work:
The Administrative Assistant will provide a broad range of support services to the Kingston Chamber Music Festival including a variety of tasks related to ensuring that administrative and logistical aspects of the festival are delivered correctly and on time.
Typical tasks can include:
Responding to emails and phone calls with patrons and donors about tickets and special events.
Updating the Purplepass ticketing system for the season.
Updating donor data in the client management system.
Support fundraising tasks for annual appeal, 401Gives and VIP receptions.
Recording details of advertising and ticket sales in spreadsheets and Quickbooks.
Generating reports from a variety of sources including Purplpass ticketing, CiviCRM client management system and Quickbooks.
Coordinate logistics of artists transportation and housing with host volunteers.
Oversee merchandise orders and sales during the festival.
Assist with a variety of festival operations onsite at the University of Rhode Island during the festival weeks.
The Administrative Assistant should be able to work with a certain level of independence using analytical and practical problem solving skills along with clear, timely communication. This position requires strong computer skills including: high level experience with Google Workplace to create, edit and assimilate information from documents, forms and spreadsheets. Ability to manage files and calendar events in Google Workplace. Experience working with a database or CRM system including the ability to edit database information as well as create mailing lists and reports is also important. Basic accounting skills and experience with Quickbooks or similar systems is helpful. Solid writing and communication skills are required to engage in a professional manner with donors, board members, artists, and business partners. A general understanding of event planning for performing arts or other nonprofit experience is helpful.
