The Administrative Assistant - Finance plays a key role in supporting the finance team and overall business operations by ensuring accurate and timely processing of financial transactions, maintaining financial records, and providing exceptional administrative support. This is an excellent opportunity to join a collaborative, hardworking team that values both professional growth and work-life balance.ResponsibilitiesProcess and review all accounting and finance-related mail, posting checks and payments promptly.Assist with Accounts Payable and Accounts Receivable functions, including obtaining necessary purchase authorizations and ensuring timely invoice and bill processing.Monitor daily and weekly cash flow, reporting discrepancies or concerns to the Finance Manager.Support accounting duties such as account reconciliations, expense reporting, journal entries, expense monitoring, and general ledger maintenance.Assist in pre-season setup for snow customers and service providers, including third-party billing and business form preparation.Purchase and monitor office, IT, and business supply inventories.Respond to customer communications in a timely and professional manner, ensuring high-quality service and resolution of inquiries.Perform general administrative duties and other tasks as assigned to support the finance and office teams.QualificationsExperience in accounting, accounts payable, and/or accounts receivable is required.Proficiency with QuickBooks is preferred.Associate's degree in accounting or a related field, or a high school diploma with equivalent experience.Strong attention to detail, time management, and organizational skills, with the ability to prioritize tasks in a fast-paced, deadline-driven environment.Proficiency in Microsoft Office, especially Excel (including formulas, vLookups, Pivot Tables, and data analysis).Experience with CRM systems is strongly preferred.Excellent problem-solving skills and a high degree of accuracy.Ability to work independently and collaboratively within a team.Customer-focused with a positive, professional demeanor and strong interpersonal skills.Adaptable to changing priorities and a dynamic work environment.Reliable attendance and a strong work ethic, maintaining confidentiality and integrity at all times.Ability to perform standard office physical tasks, including lifting up to 25 pounds as needed.
