Specialized Services Group, a commercial construction, painting, and historical restoration General Contractor, is seeking a PART-TIME Accounting Assistant to join our team! Hours are flexible.

The Accounting Assistant will provide support to the Accounting Team. The Accounting Assistant is responsible for assisting with the accounting needs of the organization. These include, but are not limited to, entering invoices, processing expense reports, reconciliation, insurance compliance and compiling monthly reports. This position reports to the Controller. The Accounting Assistant strives to provide exemplary customer service to internal and external customers while maintaining the highest standards of accuracy, timeliness, and compliance.

This position requires a flexible individual with the ability to change direction at a given notice. An individual that is organized, resourceful, demonstrates integrity, thrives in a fast-paced environment and works with minimal supervision; ensuring work performed is high quality, accurate and cost effective.

Knowledge of expense processing, reconciliation, insurance compliance, file locations and the daily processes of the accounting office. The Accounting Assistant will be required to maintain GAP principles, multi-task, complete tasks in a timely manner and participate as a team player.

SCOPE OF RESPONSIBILITY / DUTIES

Audit incoming invoices and other payment requests for appropriate coding and authorizations, routing as appropriate.

Review credit card expense reports for accuracy and completeness.

Enter credit card charges as needed.

Assist in reconciliation of credit card and vendor statements.

Maintain vendor files, including contracts for services and paid items.

Process insurance documentation and update policy records.

Follow up with subcontractors on expired insurance.

Send weekly updates to internal team on compliance status.

Request and compile documentation for new subcontractors.

Set up new subcontractors in system and update as needed.

Generate internal and external reports from accounting systems as needed.

Perform other duties as requested by the Controller.

REQUIREMENTS

Education

Required: High school or equivalent

Preferred: 1 year of accounting experience or equivalent.

Experience

Required: 1 year of accounting experience.

Preferred: 1 year accounting experience with QuickBooks

SKILL, KNOWLEDGE, AND ABILITIES

The use of analytical and observational skills which demonstrate an ability to organize, control, and manage procedures accurately. Ability to analyze the details, be thorough in the task, recognize any issues and complete all steps of the process as required. General office skills with experience Microsoft Word and Excel, technologically forward, with basic accounting knowledge.
