We’re looking for a dedicated and bilingual Office Assistant to join our team in Pompano Beach. This individual will support daily office operations, assist with accounts receivable/payable, handle data entry and warranty processing, and provide strong administrative support in a fast-paced, professional environment.

Position Overview

The Bilingual Office Assistant will handle essential accounting and administrative duties that help keep our business running smoothly. The ideal candidate is fluent in English and Spanish, detail-oriented, dependable, and comfortable working with accounting systems, data entry, and customer communications.

Key Responsibilities

Perform accurate and timely data entry into accounting and customer systems

Handle accounts payable (AP): process vendor invoices, verify charges, and assist with check runs and reconciliations

Manage accounts receivable (AR): post payments, prepare customer statements, and make collection calls for past-due accounts in a professional and courteous manner

Support warranty claim processing: log warranty requests, communicate with vendors and technicians, track claim progress, and maintain warranty files

Answer and route phone calls and emails in both English and Spanish, providing courteous and professional customer support

Maintain and organize office files, records, reports, and digital documentation

Assist management and accounting staff with general administrative tasks, filing, and recordkeeping

Collaborate with team members to ensure smooth day-to-day operations and timely task completion

Requirements

Bilingual in English and Spanish (fluent written and verbal communication)

High school diploma or equivalent required; Associate’s degree in Business, Accounting, or related field preferred

1–3 years of office or accounting experience, preferably in HVAC, motor supply, or a related trade industry

Experience handling accounts receivable and accounts payable (AR/AP) required

Familiarity with warranty processing or customer claims preferred

Proficient with Microsoft Office (Excel, Word, Outlook)

Experience with QuickBooks or similar accounting software preferred

Excellent attention to detail, organizational skills, and accuracy in data entry

Strong communication, professionalism, and customer service skills

Ability to maintain confidentiality and work both independently and as part of a team

Benefits
