We’re a small, fast-moving event company looking for a friendly, organized Administrative Assistant to keep things on track. You’ll answer calls and emails, manage scheduling, help draft proposals, and make sure details don’t slip through the cracks. This is an entry-level role with hands-on training and room to grow.
What you’ll do
Be the warm, professional first point of contact on phone and email
Keep inboxes organized; draft simple replies and follow-ups
Schedule client calls, installs/dismantles, and site visits; send calendar invites
Prepare and proof proposals/quotes; track signatures and next steps
Confirm details with clients, venues, and vendors; maintain timelines and checklists
Update simple spreadsheets/CRM notes (we’ll train)
Possible Support on event days with occasional travel
What makes you a great fit
Friendly phone manner; clear, patient communicator
Very organized, consistent, and reliable—loves checklists and tidy inboxes
Calm temperament under deadlines; able to multitask and follow through
Comfortable with Google Workspace or Microsoft 365; quick to learn new tools
0–2 years in admin/reception/scheduling/customer service (nice to have, not required)
Valid driver’s license
Compensation & schedule
$17-20/hour, paid biweekly
On-site in Rockville/Gaithersburg, MD
Mon - Friday business hours with occasional Saturdays (some flexibility around events)
