Administrative, HR, Sales & Guest Services Coordinator

Location: Humboldt County, CA

About the Role

Locally owned dispensary seeking a reliable and versatile Administrative, HR, Sales & Guest Services Coordinator. This role combines back-office support (payroll, HR, bookkeeping, cash handling) with front-of-house responsibilities (guest check-in, ID verification, sales, and customer service). You’ll help keep operations running smoothly while also being a welcoming first point of contact for our guests.

Key Responsibilities:

Administration & HR:

-Process bi-weekly payroll using Gusto

-Manage employee onboarding, records, and compliance tracking

-Oversee scheduling and timekeeping in Homebase

-Track and report sick time in line with CA labor laws

-Assist with bookkeeping tasks (invoice processing, payment tracking, expense reconciliation)

-Perform cash counts and reconciliations; maintain accurate logs

-Maintain organized digital and paper filing systems

Guest Services & Sales:

-Greet guests professionally and verify valid 21+ IDs

-Assist with guest check-in and direct them to the appropriate area

-Provide excellent customer service support as needed

-Assist with sales transactions, including ringing guests up and handling cash securely and accurately

-Educate guests on products and promotions when needed

-Uphold compliance standards for entry, sales, and financial procedures

-Think critically and offer solutions in dynamic situations

-Lead by positive example

Qualifications:

-2+ years of experience in administration, payroll, HR, bookkeeping, or retail sales

-Cash handling and reconciliation experience required

-Customer service, sales, or front desk experience strongly preferred

-Strong organizational skills and high attention to detail

-Professional communication and discretion with sensitive information

-Proficiency with payroll, scheduling, and accounting software (Gusto, Homebase, QuickBooks, Excel/Sheets, etc.)

-Must be 21+ with valid ID

-California Guard Card certified or ability to obtain within 2 months of hire

-OSHA certified or ability to obtain within 2 months of hire

-Clean MVR (Motor Vehicle Record)

-Ability to stand for up to 8 hours in a fragrance-free environment
